Staff equality monitoring information – why is it important?

The University’s Equality Policy Unit is always seeking to gain a better understanding of how employees from all different backgrounds are being treated at work, and an important way we do this is by gathering and analysing equality monitoring data (that is information on age, caring responsibilities, disability, ethnicity, gender, religion or belief and sexual orientation). Knowing the composition of our colleagues helps the University to invest in the required support and facilities and also address issues of under-representation within particular roles.

Equality monitoring information has previously helped us to identify and make positive changes to improve the experience of some staff groups. Examples of positive change include facilities on campus such as the childcare service, prayer and contemplation facilities on campus, staff networks for particular staff groups and drop-in information events for staff with caring responsibilities. Without equality monitoring information we wouldn’t know whether our policies are working or whether the benefits we promote across campus are inclusive.

We still have a significant proportion of staff equality monitoring information that is either missing or incomplete. This may simply be down to the fact that the opportunities to update information have previously been unavailable, or that the information for some members of staff may have changed over time.  If you are a member of staff at the University of Leeds we would appreciate 5 minutes of your time to update or complete your equality monitoring profile through the new Employee and Manager Self Service system.

The equality data is kept in an area of SAP which has exceptionally restricted access to ensure it’s totally confidential. The information we collect will only be used for statistical analysis – none of it will enable individuals to be identified.  We recognise that for some the information requested may be sensitive and they may wish not to share this with us at this moment in time, so there is a ‘Prefer not to answer’ option for all questions. It does, however, help us to better understand staff experiences if people can complete as much of the information as possible.

To review and update your equality monitoring information, please access the ESS/MSS site using your IT login details, go to personal information and open the tab titled equality data.
